Part-Time Technical Services Clerk (29 hours per week)

Summary:  The Field Library, the public library for the City of Peekskill and Town of Cortlandt, New York and a member of the Westchester Library System, is seeking a flexible, friendly, and detail-oriented individual for the position of Part-Time Technical Services Clerk. Under the direction of the Assistant Director, the Technical Services Clerk catalogs, processes and maintains library materials, including all books, media, periodicals, and local/state government documents.

Essential Job Functions:

  • Receives shipments from multiple vendors; unpacks, verifies, and sorts contents. Prepares packing lists and invoices for the Office Manager.
  • Performs basic descriptive cataloging
  • Corresponds regularly with WLS Cataloging Department to resolve problems and issues relating to the cataloging of library items.
  • Assigns call numbers for materials ordered by librarians.
  • Performs basic mending and repair of all library materials; deletes items from collection and prepares them for sale at the bookstore; processes severely damaged items for disposal.
  • Maintains stock of processing supplies.
  • Prepares and posts weekly NY Times bestseller lists and monthly “New Media Releases” list for patrons; creates weekly “New Fiction” display; monitors monthly add/deletes for recordkeeping purposes.
  • Selects and processes items for Memorial Plate application; lists and maintains memorial items records.
  • Prioritizes tasks with great attention to detail to facilitate processing in a timely manner.
  • Other duties as assigned.

Knowledge, Skills, and Abilities:

  • Knowledge of basic library methods, techniques, and procedures.
  • Knowledge of modern office terminology, procedures, equipment and business English.
  • Knowledge of automated systems as they apply to book processing.
  • Skill in typing at the rate of 30 words per minute.
  • Ability to maintain library records and carry out library procedures.
  • Ability to communicate effectively both orally and in writing.
  • Ability to perform close, detail work involving considerable effort and concentration.
  • Possess good interpersonal skills and ability to maintain and foster cooperative and courteous working relationships with the public, peers and supervisors.

Minimum Qualifications:

  • Associate’s Degree in library technology or related field and one year experience in a library setting. 
  • Knowledge and experience using an automated library system and databases.

Part-Time Office Manager (15 hours per week)

Summary:  Under the direction of the Library Director, the Office Manager is responsible for compiling library statistical and operational data, maintaining personnel records in accordance with applicable state and federal regulations, conducting a variety of human resources, purchasing, and general administrative services. Prepares monthly statistical reports and other related personnel reports, prepares board packets and files minutes of the Board of Trustees meetings.

Essential Job Functions:

  • Prepares and distributes biweekly payroll for the Library, tallies timesheets, determines proper leave deductions.
  • Prepares monthly statistical reports for the Board of Trustees, statistics for the state annual report, and monthly retirement report.
  • Maintains petty cash and ensures adequate change is available for all cash drawers.
  • Ensures legal compliance by monitoring and implementing applicable human resources Federal and State requirements and maintains appropriate personnel records through the development of a filing and retrieval system for current and past records.
  • Responsible for the administration of the staff benefits programs. Analyzes and modifies compensation and benefits policies to ensure compliance with legal requirements.
  • Advises and consults with Library Director on the preparation and updating of human resource policies and procedures; makes recommendations to the Library Board as necessary.
  • Purchases library supplies, furniture, and equipment; maintains service account records for library equipment.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; and participating in professional societies.
  • Other duties as assigned.
